The short answer
The detailed table lists 1, 10, 100 and unlimited automation rules across Free, Startup, Webinar and Unlimited. Workflow limits are separately 1, 5, 20 and unlimited. A 5,000-contact list may fit Startup while 11 required automation rules do not; the calculator does not check this second constraint.
Compare the current pricing snapshot and limits →Inventory triggers and outcomes
For each workflow, record the event that starts it, the conditions it checks, and the actions it performs. A purchase may tag a contact, grant access, stop a sales sequence and notify another system. Count these as functional requirements, rather than assuming one workflow in your current product maps to one rule in the next.
Look for the expensive exceptions
Custom fields, branching, delays, external webhooks and error recovery can determine whether an integration is viable. Test the exception cases: a duplicate record, a cancelled subscription, a changed email address and an interrupted connection. A cheap connector that needs daily manual repair is not a saving.
Use the plan result as a floor
Our main calculator deliberately asks only five questions. It does not count every automation rule, workflow, domain or campaign. The suggested plan is a starting point based on the visible checks. Inspect the provider’s detailed limits and test your requirements before purchase. If you retain external automation software, include it in the payback calculator.
Your decision checklist
- Write down trigger, conditions and actions
- Check limits on rules and workflows separately
- Test cancellation and duplicate events
